CoPresidents

The presidents’ duties include:

Convening and running board meetings,

Presiding at monthly functions,

Overseeing committee activities

and philanthropic endeavors,

Making sure that our By-Laws are followed


Having said that, basically the presidents try to make sure the club runs smoothly, which is easy when you have such good Board members.  We were told when we agreed to take on this job, that if we knew how to delegate, we’d have no problem. 

So far this is working well.

Co-First Vice-Presidents

Carol Binns and Marilyn Sullivan

The vice-president isresponsible for coordinating the monthly functions of the Ladies Club.  At the beginning of the year, we plan the programs for the remainder of the year.  This includes recruiting speakers, planning menus, and determining locations for our luncheons and breakfasts.  Some favorite programs are repeated each year, such as the Wine Pairing, the Tea and Fashion Show and the December Cocktail Party.  We do like to have fun!  Other programs are chosen for their educational potential, such as those having to do with women’s health, summer reading and gardening.  We do like to be “in the know!”  If you have ideas for programs, let us hear from you.  This year’s programs are wrapped up, but we’d be glad to pass along your ideas to next year’s 1st VP.  Oh, and we do fill in for the President(s), if they should both be away at the same time.  Not very likely

Second Vice-President (Membership)

The Board members responsible for Membership perform the following duties:

  1. Placement of an announcement in the December Newsletter reminding members that they will be receiving their renewal forms and the dues receipt deadline date..
  2. Preparation of renewal forms and mailing those that are not distributed at the luncheon
  3. Monitoring of receipt of renewal forms and dues as they are received and updating the roster and member data base.
  4. Review and printing of the updated membership roster; distribution of the completed roster inserts at the April luncheon and mailing or hand delivering those inserts not picked up.
  5. Publication and distribution of a Roster Supplement in August.
  6. On receipt of a monthly list of new property owners from the SRA office, distribution of membership forms and information to new residents welcoming them to Semiahmoo and inviting them to join the SLC.
  7. Receipt and processing of new member forms throughout the year. This includes inputting new members into the database, sending information on new members to the hospitality committee, newsletter staff, and our Communication Specialist who will introduce them on the website. The Reservations Committee is also notified so that name tags can be ordered.
  8. Ongoing processing of information updates on members, such as email addresses, phone numbers, and addresses.

Treasurer

Judy Trefren

The position of Treasurer is not very glamorous and in reality is quite a lot of work.  The responsibilities encompass all the duties one would expect to maintain fiscal responsibility:

  • Responsible for the custody of all funds of the club
  • Pays all bills, signs all checks, and deposits all funds
  • Reconciles the bank statements on a monthly basis
  • Prepares the annual budget and maintains the financial records
  • Prepares the financial statements and reports to the board monthly


And all of the duties one never thinks of  such as:

  • Reports and pays the Sales Tax to the State of Washington for any merchandise sales (cookbooks or anything else the club decides to sell)
  • Researches the financial implications regarding various special events (e.g. State Gaming Laws regarding Raffle sales etc.)      
  • Files the IRS Form 990 annually
  • Keeps the bank account and insurance information current
  • Visits the Post Office Box on a regular basis and distributes the mail to the appropriate people



If you enjoy nit picking, balancing your checkbook, paying attention to detail, and being a perpetual “thorn in everyone’s side”, you will find this position extremely rewarding.

Recording Secretary

Duties of the Recording Secretary include :

  1. Keeping accurate written minutes of all SLC Board meetings and distributing minutes, either electronically or by hard copy to all Board members.
  2. Maintaining a membership list of all SLC Board members, their e-mail and mailing addresses, and distributes the list to Board members at the Feb Board meeting.
  3. Maintaining the SLC secretarial book, including hard copies of each meetingÕs minutes, for future reference
  4. Records the names of SLC Board members present at each monthly meeting.
  5. Develops a computer contact list for distribution of e-mails to all Board members
  6. Functions as a member of the SLC Board

Corresponding Secetary

Pat Gilson
The Correspondence Secretary is responsible for making sure that all of you not receiving a newsletter via the Internet receive a copy by mail. The most rewarding part of this position, however, is sending our combined gratitude through Thank You notes to speakers and outside participants of our Club events. Additionally, we send out congratulations for upcoming weddings, well wishes to those members not feeling well, flowers to members during hospital stays or during times of deep sadness at the loss of a loved one. Let Jennifer Burge, our current Correspondence Secretary, know of anyone who needs this recognition.

This position is extremely gratifying. If you are looking for a rewarding and meaningful way to contribute your time, making a difference in the lives of your friends and neighbors, consider serving on the SLC Board next year as Correspondence Secretary.


Publicity and Newsletter

MaryHelen Windell
The primary function of Publicity is the compilation and publication of the monthly Newsletter. Information to be included in a typical Newsletter is received from various committee members responsible for programs, membership, and events. The completed document is then e-mailed to Crystal Mills, our Communication Specialist, who posts a pdf document to be downloaded and also publishes the information on the SLC website.



Historian

Jean Cartwright

The historian is responsible for maintaining an album reflecting the activities of the Ladies Club, including photographs and other memorabilia.  Sometimes I am given photos, other times I may be given a picture card or CD, with the pictures to be printed either on my home computer or at a retail location. The reservation co-chairs furnish me a list of everyone attending the monthly breakfast or luncheon and their guest. I am given a copy of the newsletter to be included, as well. I also look for any article about our club and activities in the Blaine paper and the Bellingham Herald. Even for someone like me who has never done scrap-booking or other craft projects with this type of materials, it has been a fun experience.

Hospitality Committee

The Hospitality Committee has three main functions, which are divided among several people. The duties are: 1) attend monthly Board meetings, 2) decorate tables for monthly luncheons and breakfasts, and 3) create welcome bags and deliver them to new members. The members of the committee rotate responsibilities so that each person on the committee is not responsible for all the duties each month. It is a fun committee to be on and provides for creative expression in designing the centerpieces for the monthly socials, which all the members enjoy.
